Description of Responsibilities: Hillside Children's Foundation is seeking an experienced professional to serve as its Fundraising Database Manager. The successful candidate will be responsible for managing all aspects of the Blackbaud Raiser's Edge donor database from data entry and gift processing to advanced queries, reporting and exporting. Core functions include oversight of gift and constituent data entry, updating and maintaining protocols for data input and integration, prioritizing analysis and reporting, (generating solicitation downloads, etc.) and generating fundraising reports for the Chief Advancement Officer, fundraising directors, the finance department, and the Board of Governors. The Database Manager will play a critical operational and relationship role in support of advancement operations and communications. Hillside Family of Agencies has locations throughout Central New York and the greater Washington, DC, area; the successful candidate will work out of the Rochester, NY, location.

DUTIES AND RESPONSIBILITIES:
Overall Database Integrity

  • Ensure data integrity for HCF advancement functions, with a special emphasis on donor/fundraising data. Ensure initiatives align with Foundation-wide data-related objectives. 
  • Work in cooperation with CAO and fundraising officers to ensure data integrity and management of key relationships contacts in Raiser's Edge.
  • Integrate data systems and individual record keeping with a goal of capturing all Foundation data in the database of record including data syncs between communications and event platforms, meetings, grant management, resource development, finance, etc.
  • Work with internal and external stakeholders, including finance, to assure timely and accurate data entry, and to prioritize and deliver analytics and reporting needs.
  • Serve as main point of contact for all Blackbaud applications/modules and provide training and support for Advancement staff members
  • Develop, sustain and apply expert-level knowledge and systems management of Luminate Online (LO), The Raiser's Edge (RE) database view and RE NXT.
Data Entry & Record Maintenance
  • Serve as a "power user" of database, leading staff on constituent record maintenance, data extraction, innovative uses for efficiency and effectiveness, building annual and campaign-specific structures.
  • Manage daily gift processing, process pledges and pledge payments, and send pledge payment reminders.
  • Serve as expert in all modules of the Raiser's Edge database including: including Tribute, Events, Prospect, and Volunteer modules. 
  • Demonstrate an in-depth knowledge of importing, executing global changes, and managing table codes.
  • Use imports as needed to update donor records to include event attendance, volunteer activity, appeals, community engagement and other critical information.
Reporting & Exporting
  • Provide Advancement staff with reports as needed, establish regular reports for CAO, gift officers, finance, Board Members, etc.
  • Work regularly with the finance department to generate reports necessary for general ledger reconciliation, audit preparation, tax return preparation, data analysis, budget and grant preparation and reporting
  • Assist Foundation staff with creating constituent lists as needed, including invitation lists, solicitation and appeal mailing lists, email communications, and publications, including detailed donor lists for the annual report.
  • Perform advanced queries and build advanced exports, sort and analyze data, identify donor trends and produce analytical reports. 
  • Collaborate with Foundation staff, using data and data analysis to develop strategies to increase fundraising revenue, improve ROI, and upgrade donors.

Education:  Bachelor's degree, or equivalent combination of education and experience, in information or database management.
Experience/Personal Qualifications: 
Experience: 
  • 3-5 years of progressive responsibility in database management and donor records, preferably in a nonprofit, human services or education setting.
  • Proficiency with MS Office Suite (particularly Excel)
Required. 
  • 2-4 years of experience with Raiser's Edge, Raiser's Edge NXT, and/or other Blackbaud Products strongly preferred.
  • Working knowledge of performing month-end reconciling with Finance and experience with annual audits preferred.
