Description of Responsibilities: Responsible for a variety of projects related to areas within Development.

  • Special Events
    • Assist Development Manager with coordinating an implementing special events including: The White Party, World AIDS Day, AIDS Red Ribbon Ride as well as 3rd party events hosted by community groups, businesses or private donors
    • Marketing events hosted by Trillium (e.g. Open House), community partner events where Trillium is a premier sponsor (e.g. PRIDE), and events for other partners where Trillium Health is providing the venue 
    • Work with HR to recruit, train and steward volunteers for events as needed
    • Communicates information to event sponsors, participants and volunteers concerning dates, times, places and assistance needed for the event
    • Serve as AIDS Red Ribbon Ride Staff Champion responsible for coordinating all agency tasks associated with the ride, attending committee meetings, take and distributing minutes / sending meeting notices
    • Onsite Event Support: Serve as on-site support of all special events Assist with set-up and tear-down of events as needed
    • Manage participating staff and volunteers during events Fundraising and Development
    • Assist Development Manager with tracking and stewarding of key donors
    • Collects and maintains all records relating to events, including promotional materials, receipts, lists of attendees, sponsors, volunteers and feedback from participants
    • Attend external fundraisers on behalf of Trillium Health when required
    • Plan and execute cultivation and appreciation of donors for special events
    • Coordinate Bi-Monthly E-Newsletter to be sent to donors and prospects via Bloomerang system
    • Work with Development Manager to develop event promotion campaigns
    • Work with Development Manager to set annual campaign goals and track success. Campaigns include annual appeal, EtE 2020 Fund, White Party, AIDS Red Ribbon Ride, ROC the Day, and additional smaller campaigns 
    • Assist Development Manager with creation and execution of campaigns
    • Draft appeal letters, donor and sponsor solicitations, invitations, save the dates, etc.
    • Collaborate with Graphic Designer to create any necessary marketing for each campaign
    • Collaborate with marketing team to create social media promotion, internal communication, press releases, etc.
    • Other responsibilities as needed
  • Database Management - Provides direct oversight of donor database and responsible for:
    • Entering all data into system and ensuring that all data are accurate and up-to-date
    • Drafting personalized acknowledgement letters for individual donors and corporate sponsor to properly acknowledge contributions
    • Drafting e-blast and e-invitations through Bloomerang systems to designated donor lists
    • Providing Graphic Designer with mailing lists for printing
    • Generates reports of gifts, pledges, campaign results and donor retention rates
    • Research missing donor information including contact information, work history, social networks, and associations
    • Collects and maintains donor cultivation encounters
    • Other responsibilities as needed General Administrative Support
    • Supports the Development Manager with calendar coordination, meeting scheduling, greeting guests, meeting set-up and tear down, invoice and payment requests, and other clerical duties as requested
    • Organizes and manages department files
    • Develops and prepares donor packets, updating as needed
    • Runs errands, as needed, on behalf of the department Miscellaneous
    • Requires the ability to relate to people of diverse backgrounds, cultures, races, sexual orientations and gender identities or expressions
    • Responsible for maintaining confidentiality of all patient, client, proprietary, and protected information
    • Employees are accountable for meeting performance standards of their departments. They participate in compliance audits and quality improvement plans

Education: Bachelor's Degree preferred. Demonstrate strong written and verbal communication skills. 1-2 years experience working in a Development role. Excellent computer skills a must in Microsoft applications. Ability to organize and follow through. Regional travel and some evening and weekend hours required.
